ERP without subscription · India

One-time license ERP: pay once, and stop renting your operations.

A subscription looks cheap in month one. It is also the only number on your software bill that grows every time you hire, and never stops. A one-time license front-loads the cost and then stays flat. Which one costs less depends on your team size and how long you’ll run it — so here is the arithmetic, not a slogan.

One-time license No per-seat fees No mandatory subscription

What is a one-time license ERP?

A one-time license ERP is business operations software you pay for once and then own, rather than renting it monthly or annually. BOOM by YNIIDI is sold this way: in India, BOOM Lite starts from ₹2,00,000 and BOOM from ₹5,00,000, self-hosted on your own server, customized to your workflows, with no per-seat fees and no mandatory subscription. What remains after purchase is hosting, upkeep, and any optional support or customization you choose.

How the two cost models actually grow

Five variables decide it. Put your own values in and the answer is yours, not ours.

Subscription total

Subscription cost = S × 12 × U × Y

  • S — price per user per month
  • U — number of users (sales, godown, accounts, managers)
  • Y — years you run it

It grows with both U and Y. Hire more staff and it rises; keep the business running and it keeps charging. Price revisions and plan upgrades are not in this formula, and they rarely move downward.

One-time license total

Owned cost = L + (H + A) × Y

  • L — one-time license including agreed customization and setup
  • H — yearly hosting for your own server or VPS
  • A — optional yearly budget for support or further customization, if you want it

U does not appear. With no per-seat fees, adding a godown supervisor or a new salesperson adds nothing to the software bill.

Break-even point, in years: L ÷ (12 × S × U − H − A). If the bottom of that fraction is zero or negative, the subscription stays cheaper and you should rent.

A worked example — illustrative only

Every number below is an assumption chosen to make the arithmetic easy to follow. None of them is a quote from any vendor, including YNIIDI. Replace them with your own.

Assumptions

  • S = ₹1,000 per user per month (assumed subscription price, not any real product’s)
  • Y = 5 years
  • L = ₹5,00,000 (the starting price of the full BOOM edition; your scoped price may be higher)
  • H = ₹30,000 a year hosting (assumed)
  • A = ₹40,000 a year optional support or customization budget (assumed; not a YNIIDI rate)
Illustrative five-year totals using the assumptions above
Users (U) Subscription over 5 years One-time license over 5 years Break-even
10₹6,00,000₹8,50,000About 10 years — subscription is cheaper here
15₹9,00,000₹8,50,000About 4.5 years
25₹15,00,000₹8,50,000About 2.2 years

Read it honestly: at 10 users on these assumptions, renting costs less over five years. At 15 the two are close. At 25 the one-time license is well ahead — and the gap widens every additional year and every additional hire, because the subscription column keeps moving and the license column barely does. With BOOM Lite (from ₹2,00,000) as L, the owned total on the same assumptions would be ₹5,50,000.

Not modelled: subscription price increases, your staff time on either option, and accounting or GST software you would pay for either way.

What a one-time license doesn’t remove

  • Hosting. BOOM runs on your on-premise server, VPS or private cloud. That has a running cost, usually small next to per-seat fees.
  • Responsibility. Someone has to own backups, access and restores. BOOM includes backup, restore and export; a person still has to use them.
  • Change. When your process changes, further customization is an optional, scoped cost — not a forced upgrade.

What the license covers

  • Orders and billing, inventory with live stock and low-stock alerts, purchases
  • Customers, suppliers and payables, payments with Razorpay
  • Profit dashboard, tasks, team chat
  • 6 roles and 40+ permission keys; backup, restore and export
  • Customer and supplier portals in the full BOOM edition
  • Rollout: scope mapping, setup and data migration, team enablement

Who should rent, and who should own

Rent a subscription if…

  • Your team is small and not growing
  • You want a low monthly cost and no server to think about
  • A standard workflow fits the way you operate

Own a one-time license if…

  • Several people across sales, godown, purchase and accounts need access
  • You expect to run the system for years, not months
  • You want the software shaped around your process and your data on your server

One-time license questions

What is a one-time license ERP?

It is business software you pay for once and then own, instead of paying a monthly or annual subscription for as long as you use it. BOOM by YNIIDI is sold this way: a one-time license, self-hosted on your server, with no per-seat fees and no mandatory subscription.

Is a one-time license always cheaper than a subscription?

No. With few users over a short period, a subscription can cost less. A one-time license usually wins as users grow and years pass, because the subscription keeps charging while the license does not. Run the numbers for your own team size and horizon.

What costs remain after buying BOOM?

Hosting on your own server, the time of whoever looks after backups and access, and any optional support or further customization you choose to buy later. There are no per-seat fees and no mandatory subscription.

How much is the BOOM one-time license?

In India, BOOM Lite starts from ₹2,00,000 and BOOM starts from ₹5,00,000. BOOM adds the customer portal, supplier portal and payment gateway integration. Final price depends on scope agreed during scoping.

Do we still need accounting software with BOOM?

Yes, for statutory work. BOOM runs orders, billing, stock, purchases, dues, payments and profit visibility. It does not file GST returns or replace your statutory accounting software.
